Cold email follow-up templates

Updated October 2026 · Free to copy and edit

Most replies to cold outreach come from follow-ups, not the first email. The first one is easy to ignore. The second and third remind the person you're real and you're not going away, as long as each one is short and adds something.

Here's a four-email sequence you can drop into any outreach tool, followed by extra follow-ups for specific situations.

Cold email follow-up templates: 6 to copy

1. Follow-up 1 (day 3): the bump

Subject: Re: [first subject]
Hi [Name],

Wanted to make sure this didn't get buried. Is [problem] something you're dealing with at [Company] right now?

[Your name]

2. Follow-up 2 (day 7): proof

Subject: How [similar company] did it
Hi [Name],

[Similar company] had the same problem with [problem]. After [change], they [specific result with a number].

Happy to share how it might work for [Company]. Worth a 15-minute call?

[Your name]

3. Follow-up 3 (day 14): a different angle

Subject: Different idea
Hi [Name],

Maybe [problem] isn't the priority. What about [second problem you solve]? Teams like yours often [result].

If neither is relevant, just say so and I'll stop.

[Your name]

4. Follow-up 4 (day 21): breakup

Subject: Last note
Hi [Name],

I haven't heard back, so I'll assume now isn't the right time. I'll leave you alone.

If [problem] comes up later, I'm one reply away.

Best,
[Your name]

5. Asking for the right person

Subject: Who handles [area]?
Hi [Name],

If you're not the right person for [area], could you point me to whoever is? I'd really appreciate it.

Thanks,
[Your name]

6. Opened but no reply

Subject: Quick question
Hi [Name],

Would it be useful if I sent a 2-minute video showing how this would work for [Company] specifically? Just reply "yes" and I'll make one.

[Your name]

Rules for cold follow-ups

  • Each follow-up is shorter than the one before.
  • Never write "just following up" on its own. Add a result, a question or a new angle.
  • Keep the same thread for the first two, then start a new thread with a new subject.
  • Stop after four. More than that risks spam complaints and hurts your sending domain.
  • Remove anyone who asks you to stop, immediately.

Frequently asked questions

How long should I wait to follow up on a cold email?

Two to three business days for the first follow-up, then about a week, then two weeks.

How many cold email follow-ups should I send?

Three or four after the first email. More than that rarely helps and increases spam complaints.
