Sales follow up email templates

Updated October 2026 · Free to copy and edit

Most deals don't close on the first email. They close on the third, fourth or fifth, when the prospect finally has time and you're the one still in their inbox.

A good sales follow-up is short, adds something new each time, and asks for one small next step. These ten cover the situations reps hit every week.

A simple 5-step follow-up cadence

  1. Day 0: first email or meeting recap.
  2. Day 2–3: short bump with one new piece of value.
  3. Day 7: a case study or relevant result.
  4. Day 14: ask directly whether it's a priority.
  5. Day 21–30: breakup email.

Mix in a call or a LinkedIn message between steps 2 and 4 if your process allows it.

What not to do

  • "Just checking in" with nothing new.
  • Guilt-tripping ("I've emailed you five times...").
  • Fake "Re:" subject lines on a first email. People notice, and it damages trust.
  • Long paragraphs. If it doesn't fit on a phone screen, cut it.

What's a good sales follow-up subject line?

Short and specific: "Recap + next steps", "Is this still a priority?" or a question about their company. See more in sales email subject lines.
