How to write a resignation email
Resigning by email is completely normal now, especially for remote and hybrid jobs. It gives both sides a timestamped record.
The one thing to do first: tell your manager on a call or in person. Then send the email as the written confirmation.

Subject line, recipients and timing
- Subject: "Resignation – [Your name]" is clear and easy to find later. Avoid vague subjects like "Quick update".
- To: your direct manager.
- CC: HR, if your company's policy says so. Don't CC the whole team.
- Timing: send it right after your conversation, on a working day. Monday to Wednesday mornings leave time to plan the handover.
- Attachments: optional. Some HR teams want a signed PDF letter; the format guide has one.
