What to write on the envelope of a resignation letter

Updated October 2026 · Free to copy and edit

Keep the envelope simple. It should tell the right person it's for them and that it's private, without announcing what's inside to everyone who walks past.

What to write on the envelope of a resignation letter: 3 to copy

1. Hand-delivered (most common)

Front of envelope:

[Manager's full name]
[Manager's job title]
Personal and Confidential

2. Mailed

Front of envelope:

PERSONAL AND CONFIDENTIAL
[Manager's full name]
[Manager's job title]
[Company name]
[Street address]
[City, State ZIP]

Top-left corner:
[Your name]
[Your address]

3. Delivered to HR

Front of envelope:

Attn: [HR manager's name]
Human Resources
Private and Confidential

The short answer

Write your manager's name and job title on the front, and add "Personal and Confidential" (or "Private and Confidential" in the UK). If you're mailing it, add the full company address and your return address.

Don't write "Resignation" on the envelope. It's not necessary, and the receptionist, the mail room and anyone in the office could see it before your manager does.

How to hand it over

  1. Tell your manager in person first.
  2. Hand them the envelope at the end of that conversation, or straight after.
  3. Use a plain white business envelope (DL or #10 size). Fold the letter in three.
  4. Seal it if it's passing through other hands. Leave it unsealed if you're handing it over directly.
  5. Keep a signed copy for yourself.

Frequently asked questions

Should I write 'resignation' on the envelope?

No. Write the recipient's name and "Personal and Confidential". That keeps it private until your manager opens it.

Do I need an envelope for a resignation letter?

Not if you're emailing it or handing it over during a meeting. An envelope is useful when it's left on a desk or passed through other people.
